How to close trips to close load?
Introduction:
In TMS (Transportation Management System), effectively managing your loads and trips is crucial for smooth operations. In this guide, we will outline the steps to close a load by navigating through the various load and trip stages.
Step 1: Load Creation
When creating a load, it starts in the "Planned" stage. During this stage, you can edit load information as needed.
Step 2: Progress to Pending
After entering the load information, move the load into the "Pending" stage. Here, you should attach the Rate Confirmation for the load.
Step 3: Confirm the Load
To move the load to the "Confirmed" stage, all required information must be in place. In this stage, you will also create a trip for the load, assigning it to a driver.
Step 4: Managing Trip Stages
The focus now shifts from the load to the trip, and stages are managed within the trip:
- "Planned" Trip Stage: Make any necessary changes to the trip details. You can revert the load to the "Planned" stage if needed.
- Ensure you calculate the trip miles using the "Default Calc." button in this stage.
Step 5: Transition to Pending
After setting up all the trip information, move the trip into the "Pending" stage. This action sends the trip details to the driver via the Driver App for their review and confirmation.
Step 6: Dispatching the Trip
Once the driver confirms the trip, you can proceed by clicking the "Confirm" button, or the driver can do so using the Driver App. This will advance both the load and trip to the "Dispatched" stage.
Step 7: Trip in Progress
As the driver initiates work on the trip using their app, both the trip and load will transition to the "In Progress" stage. You, as a dispatcher, can also move the trip to this stage by selecting the "In Progress" button.
Step 8: Completion and Reporting
Upon the completion of all deliveries, the driver can click the "Finish Trip" button, causing both the trip and load to shift to the "Delivered" stage. As a dispatcher, you can also finalize the trip as delivered by clicking the "Report Delivery" button.
Conclusion:
Following these steps ensures a smooth progression of both load and trip stages, ultimately leading to a successfully closed load. Now, your load is in the "Delivered" stage, indicating that the journey has been completed. Efficiently managing these stages is essential for efficient load handling within TMS. If you have any questions or require further assistance, do not hesitate to contact your TMS administrator. Your attention to detail in managing load and trip stages contributes to the effectiveness of your transportation operations.
